At Johnson Controls in Mölndal, we are currently looking for a new Training Services Coordinator - with receptionist responsibilities – to join our Fire Suppression & Building Products division, where we specialize in a wealth of products, applications and systems designed for fire protection to industrial and offshore segments.
What you will do
As our new Training Services Coordinator, you will be responsible for coordinating, facilitating and hosting all training and sales events in Mölndal TechXchange Academy. In addition, you will perform and oversee a variety of associated office administrative duties. You will report to the Senior Technical Services Manager, but the role will put you in contact with various stakeholders such as the internal Sales team, Finance, Customer Services and the Global and EMEA Technical Services & Training team, as well as external suppliers and customers. 
How you will do it 
Your key responsibilities within training and event administration are:
·       Oversee the overall training activities at the local TechXchange Academy; provide general support for the unit such as answering general questions by phone and email; assist and resolve problems and inquiries of visitors; review and control incoming and outgoing correspondence and prepare the invoices for all attendees.
·       Look after general administrative support such as coordinating seminar rooms, room setup, distributing training material and give-away’s.
·       Order catering and coffee/soft drinks for the training and sales events, setup and serve lunch and coffee/soft drinks during events.
·       Assist with booking of hotel and transportation for visitors and attendees; coordinate entry badges; process and arrange for visitors´ questionnaires, invitations or specific documentation for foreign visitors e.g. Visa.
·       Establish, update and maintain files and records on data management systems (such as SharePoint calendars).
 
Your responsibilities as Receptionist will be:
·       Overall office administrative support - order office materials; handle incoming and outgoing post and packages/deliveries.
·       Administrate and control invoices generated for the training, sales events and office.
·       Administrate purchasing for the office in Buy Smart. 
·       General kitchen duty, ordering everything for the kitchen and having the overall responsibility so the kitchen and the lunch/lounge area will be presentable.   
·       General contact with our suppliers for the training and office, including the cleaning agency.
What we are looking for
We imagine that - as a minimum - you hold an equivalent high school degree, with additional education or experience within administration. You are an experienced user in MS Office and ideally, Salesforce, and you command good verbal and written English. Furthermore, you are a service-minded, structured and action oriented colleague with strong capabilities within planning, communication, coordination and teamwork.
