About the role
As a Process Team Member, you will work on process improvements delivering global harmonization. Supporting to establish an overall center of excellence for relevant Customer Admin processes. Identify improvement potentials and support preparation of recommendations for approval of improvement processes, services and/or system solutions. Prepare business case documentation to support the recommendations for improvement initiatives

You report to the Service Development Manager within Customer Service Administration and this position is preferably located in Gothenburg.

Your main accountabilities and responsibilities are:

• Participate in continuous improvement initiatives for Customer Admin processes
• Identify improvement potentials and support preparation of recommendations for approval of improvement processes, services and/or system solutions
• Prepare business case documentation to support the recommendations for improvement initiatives
• Measure and follow up defined KPIs and propose corrective actions to deviations from targets
• Provide support regarding Customer Admin processes, query resolution and data provision to other service areas, produce process documentation and training material
• Analyze best fit technology solutions based on knowledge of the Customer Admin processes and improvement possibilities
• Produce communication material for relevant stakeholders and the entire organization (e.g. intranet or self-service solutions)
• Follow accounting standards and other internal policies such as internal controls and legal regulations
• Keep updated on trends and best practice as well as legal changes and adaptations
• Contribute to finding and implementing effective solutions in a matrix organization
• Maintains the interface to Business Unit Commercial networks and Business contacts

About you
We are looking for you who has:
• High interest in exploring latest technology from a process improvement perspective.
• University degree or equivalent in Finance/Commerce
• Min 1-5 years´ experience in Finance/Commerce
• Good knowledge of ERP system / MS Excel / IT skills.
• Experience of working with processes, services or system solutions is desirable
• Project management experience
• Holistic thinking, and ability to understand end-to-end processes
• Ability to work and communicate in a multi-cultural environment
• Strong analytical and problem-solving skills coupled with a desire to learn new skills
• Customer Driven
• Fluent English (Spoken & Written)

Project Management Co-Ordinator
At Essity we are now seeking a Project Management Associate based in Göteborg and reporting into the Project Management Office (PMO) in Technology Personal Care where the most complex and high profile of Essity’s Supply Chain and business change projects are planned and executed. The PMO is also responsible for the development and support of professional Project Management across the Essity organization.
Overview
In this role you will be the coordinator for the Funnel Innovation Process for a business unit and as such is responsible for keeping the project portfolio continiously updated for full transparency. The role drives the use and continious improvement of the project portfolio tools and processes within the category/department and supports the units leadership teams, brand/arena teams as well as the innovation teams. Furthermore the role is responsible for training of the project portfolio tools and systems and its use in the organisation.
This is one-off and exciting role within Essity. You will support, develop and promote PMO and Project Management as well as supporting Project Managers across Essity. This requires networking, liaison and working with colleagues across Essity to ensure the back office of PMO, Project Management process, systems, reports, metrics & scorecard are all in place, working and maintained.
What you will do:
Main Tasks
Author, maintain & update Project Management process in Global Management System (PRIME, Visual Planning, Lessons learned, Risk Assessment & Mitigation)
Ensure updated and accurate process documentation
Periodic review of GMS process documentation to comply with Medical Device Requirements
Lead, develop, execute Project Management process improvement
Undertake Root Cause Analysis within Projects & Lessons learned to identify improvement opportunities
Portfolio co-ordinator for PMO projects
Financial administration, including cost follow up and forecasting
Purchase Order initiation, placement, follow up
Support the following tools: PPM, Projects in Sharepoint, Digital Project Centre, Web pages, GMS, local Project, Sponsor & Project Manager databases
Project scorecard management, including reminders and improvements
Develop / deploy / use Project management Risk scorecard
Supporting all Project Managers with questions, issues and setup
Global Project Management process training sessions (incl. organisation, preparation & deliver training within limits of own knowledge)
Assist Project Management Director in delivering ambitious capability uplift across Essity
Chair / lead / scribe for regular Project Management meetings
Support / Participate in audits

Furthermore, you will ensure everything that is needed behind the scenes such as administration, contracts and process documentation is undertaken. From a simple database to managing Project Management training though to process author and managing web content – you will help develop, deliver and maintain. Role is hybrid - part coordinator, part administrator, part facilitator, part leader and part trainer. You will report to Project Management Director Technology Personal Care.
It is also expected that you support the professionalization of Project Management across Essity and act as role model demonstrating the positive minded behaviors of Project Management.
Who you are:
Key Experiences / Qualifications
University Degree
Advanced Microsoft office skills, including SharePoint, Excel, O365 environment & Web/Internet pages
Fluent in English, both written and spoken
Solid understanding of the Project Management process
Good understanding of general end to end business processes
Experience of complex international and matrixed business environments
Good analytical skills
Good communicative and interspersonal skills
